Academic Coach and Coordinator

Salary Range: $42,000 - $50,000 per year; DOE
Sun Devil Athletics seek an Academic Coach who, under the general direction and supervision of the Associate Director, the incumbent is responsible for coaching designated student-athletes on strategies for academic success and graduation and providing learning support to academically at-risk student athletes. The majority of time will be spent working with those student-athletes who have greater academic risk indicators, specifically new student-athletes and those with lower grade point averages. This position will perform the duties and responsibilities listed below while ensuring strict adherence to NCAA and Pac-12 rules and regulations, as well as policies and procedures of Arizona State University, the Department of Sun Devil Athletics and the Arizona Board of Regents.
- Coordinate academic policies, procedures & deadlines with designated sport coaches and teams.
- Facilitate mandatory advising
- Ensure all student athletes meet with a Major advisor each semester and enroll in recommended courses
- If necessary, assist students in creating schedules around practice, meeting and travel schedules
- Review schedule for any travel conflicts in season
- Prioritize registration (scheduling classes, not advising)
- Order textbooks for designated student-athletes (per Compliance)
- Direct Incoming student-athlete through following processes: sign up for ASU orientation, schedule appointment for initial advising (if applicable)
- Secure signatures from student athletes enrolling in KIN 310 registration / sport credit
- Conduct team meetings regarding deadlines and student-athlete responsibilities
- Missed class due to travel, arranging for alternative exam times/locations as needed, academic integrity, use of Academic Tutoring Center, ASU Academic Support Centers, and Championship Life events
- Assess all incoming and returning student-athletes academic risk factors by completing the GRO process at the beginning and end of each semester. Update excel spreadsheet
- Facilitate all incoming assessments (LASSI, Parent Survey, Student Surveys, etc) and ensure completion. Integrate information into individual academic support plans (see next bullet). Communicate any identified learning disabilities to the designated Learning Specialist
- Create individual academic support plans for all academically at-risk student-athletes (prescribed tutoring, study hall, check in meetings and academic mentoring). Modify individual academic support plans as necessary during the semester (based on academic performance/grades) to support continued student success
- Provide or assist student-athletes in securing necessary academic support (tutors, academic mentors, etc.)
- Mentor students as necessary. This often includes student-athletes who are the most academically at-risk
- Monitor student-athlete academic performance at identified intervals determined by level of academic risk and session enrolled (e.g. shorter/longer). Input all performance feedback in ESP systems for review
- Provide sport coaches and supervisor with timely and regular academic progress reports
- Develop and Implement structured study program for 1st year student-athletes and continuing student-athletes. Monitor and track attendance, report to sport coaches any issues
- Assist student-athletes in preparing and annually re-evaluating Graduation Plans
- Communicate with assigned sport teams dates and timing of Championship Life events
- Counsel and direct student-athletes toward college services to assist in quality academic decision-making (i.e. major advising, student academic success programming, career services, etc) and to support their personal development and well- being (counseling and consultation)
- Some travel may/will be required with sports teams during competition season
- Monitor and track student-athlete degree progress for NCAA eligibility. This includes evaluating all courses student athletes are enrolled in each semester for degree applicability and progress.
- Provide a presentation on ASU/OSAD services to recruits as scheduled by coaches
- Academic assessment and development of individualized academic support plans for incoming and continuing student-athletes
- Outline and implement appropriate academic structure and support based on initial or continuing assessment
- Schedule study halls and submit weekly study hours reports to coaches
- Connect those with a diagnosed learning disability to DRC
- Monitor progress in accordance with ASU and NCAA requirements (choosing a major, course selection and class schedule, critical tracking, Academic Progress Rate [APR], Graduation Success Rate[GSR])
- Liaise with campus college advisors and faculty as needed
- Liaise with sport coaches
- Monitor eligibility
Required Minimum Qualifications
Bachelor's degree in a related field and three (3) years of experience in the program of assignment; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
- Evidence of a masters degree in a related field is preferred.
- Evidence of effective verbal and written communication skills.
- Experience in using attention to detail, organization and coordination skills.
- Experience in academic program coordination at collegiate level.
- Experience in working with student-athletes in an academic advising capacity.
- Experience providing one-on-one academic support to at-risk student-athletes at the collegiate level.
- Experience in monitoring student-athletes' progress towards degree with regards to university requirements and NCAA academic eligibility requirements.
- Knowledge of NCAA rules and regulations.
- Experience in relating effectively with students, coaches, staff members and faculty from diverse ethnic, cultural and socio-economic backgrounds.
- Experience in class scheduling and registration processes.
- Experience in creating individual academic support plans and graduation plans.
- Experience in coordinating academic policies, procedures and deadlines with sport coaches.
- Experience in referring student-athletes to appropriate college campus resources in an effort to provide assistance for academic success.
- Experience in Degree Audits (e.g. DARS) for academic purposes.
- Experience in work that required conducting self with uncompromising integrity, exercising sound judgment and handling sensitive, confidential information with discretion, according to FERPA guidelines.
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
- Required to stand for varying lengths of time and walk moderate distances to perform work
- Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
- Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts
- Communicate to perform essential functions
- May be required to work nights and weekends
- Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals
- Some travel may/will be required with teams during competition season.
